Human Services Administrative Assistant

Summary of position/Objective:

The Administrative Assistant primary responsibilities is to review staff documentation, prepare billing, and to support the intake process for new referrals for the Human Services Division. 

The ideal candidate is proficient in Iowa Code requirements, is organized, and persistent in following up with staff corrections. 


Essential Duties and Responsibilities:

  • Adhere to and uphold To The Rescue’s values and policies
  • Always represent To The Rescue in a positive and professional manner to all clients, coworkers, families and the public
  • Provides timely review of staff documentation in the housing, employment, and/or hourly program
  • Prepare and provide timely billing of program documentation
  • Provide prompt and effective communication with Managers and Supervisors regarding staff performance as it relates to documentation
  • Acts as an active member of the referral committee
  • Works with and supports the intake team to flawlessly execute new referrals
  • Tracks all referrals in accordance with internal processes
  • Reviews member medicaid status 
  • Sends out acceptance and denial letters for referrals as determined by the referral committee
  • Corresponds with referral team members to support the intake process
  • Works with pharmacies to support medication administration of a new housing member
  • Coordinates medication pick up and check in with the Quality Assurance Medical Specialist 
  • Coordinates move in day transportation for Housing members
  • Coordinates new medical professional supports as needed 
  • Provides scheduled medical appointments for the Housing team as needed
  • Prepares intake paperwork for the Human Services team
  • Collects and tracks paperwork ensuring all items are present in the intake folder through email/fax
  • Ensure member authorizations are correct and present prior to service delivery
  • Provides completed paperwork for approval by the Quality Assurance Department
  • Provides support to ensure all records are compliant with Iowa Administrative Code
  • Works with the department head to streamline intake and documentation processes 
  • Teaches courses to support new hires/annual training as needed
  • Represents the Mission of the department 
  • Promote and adhere to all To The Rescue safety practices and policies
  • Performs additional duties as assigned


Competencies/Qualifications/Education:

  • Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems
  • Have knowledge of auditing and monitoring procedures
  • Have working knowledge of applicable laws and regulations affecting Iowa and Colorado
  • Have working knowledge of privacy laws and regulations 
  • Must have excellent communication skills and the ability to communicate effectively with staff and provide instruction and direction to employees on maintaining compliance with policies, rules and procedures
  • Proficient with Microsoft Office that includes Word, Excel, and the ability to learn computer programs for scheduling and timekeeping
  • Ability to respond well under pressure
  • Experience working with members with disabilities, documentation standards, and Iowa Code


Certificates/Licenses/Registration:

The employee shall possess a valid driver’s license and must be eligible for the agency’s vehicle insurance and provide proof of private vehicle coverage. 


Work Hours:

Hours are varied depending on the needs of the organization. This may include, but is not limited to days, nights, weekends, and holidays. 


Work Environment:

The work environment is consistent with similar office or home work environment settings.

  • Specific vision requirements include close and peripheral vision, depth perception and ability to focus 


Travel:

Frequent travel within a 25-mile radius is expected for this position. Occasionally travel beyond a 25-mile radius may be required, including out of state travel.
