Support Specialist II, Registration
SYNOPSIS: This position requires
administrative support skills and the ability to organize multiple activities
and duties, including special events. The individual in this position will be
able to assist with coordination of daily activities, events and communications
necessary to effectively manage the registration process.
ESSENTIAL JOB FUNCTIONS:
1.
Answer phones
2.
Computer skills including Microsoft Office
3.
Registering students via phone and in person
4.
Organizing and maintaining office files using standard
records management procedures
5.
Ensure all required course paperwork is submitted
accurately and in the allotted time frame
6.
Set up and maintain courses in the database including
course rosters
7.
Send attendance certificates to students who complete
non-certification classes
8.
Correspond with students, staff, vendors, and others
via departmental email
9.
Assists coworkers and students as needed
10. Working
well under pressure to meet deadlines
11. Must
be able to operate standard office equipment such as a scanner, fax machine,
copier, etc.
12. Demonstrate
effective oral and written communication skills
13. Understand
and follow advanced written and verbal instructions including, but not limited
to:
a.
Assimilating knowledge of institutional policies and
procedures
b.
Independently following departmental guidelines and
procedures
14. Complete
projects in an effective and timely manner while adhering to established
guidelines and procedures
OTHER DUTIES AND RESPONSIBILITIES:
1. Observes strict
confidentiality when processing personal and confidential information
2. Processes incoming
correspondence and credit card payments
3. Assists other units as requested
4. Provide excellent customer
service internally and externally
5. Accumulates and organizes
pertinent data and puts it into a functional form
6. All interaction and
correspondence with internal and external customers should be conducted in a
professional manner
7. Orders and maintains
supplies necessary for the efficient operation of the assigned unit or program
8. Performs other duties as
assigned by supervisor
9.
Demonstrates
integrity and discretion at all times
QUALIFICATIONS:
1. A minimum of 3 years
full-time clerical experience required.
2.
Computer proficiency required.
3.
High
School diploma or GED required.
4.
Associates
degree or certificate from a two-year college is preferred.
SALARY: Schedule E4, Grade 05 $31,077 to $45,935 based
on experience and qualifications
